When you apply for a job with us or express interest in a position, we process your personal data carefully and confidentially. In this supplement to the privacy statement, we explain what data we collect, why we do so, how long we retain it, and what rights you have.
This supplement applies to all applicants and candidates who participate in a recruitment or selection procedure at Iv-Groep B.V. or one of its subsidiaries.
What personal data do we process?
During the application process, we may process the following data:
- Name, address, place of residence, telephone number and email address
- Date of birth and, if applicable, gender
- Curriculum vitae, cover letter and references
- Any notes made during interviews or assessments
- Correspondence between you and Iv
- (If applicable) test results or screening data
- Publicly available information (e.g. LinkedIn profile)
- Any image or audio material you provide yourself (such as an application video)
We only process the data necessary to assess your suitability for a position within Iv.
Purposes and grounds for processing
We process your personal data for the following purposes:
- Assessing your application and suitability for the position;
- Maintaining contact during the application process;
- Complying with legal obligations (e.g. identity verification upon commencement of employment);
- Building a candidate database for future vacancies (only with your consent);
- Improving our recruitment and selection processes.
The processing takes place on the basis of:
- the necessity for entering into an employment contract,
- Iv’s legitimate interest in recruiting suitable employees, or
- your consent, if we wish to retain your data for a longer period of time.
Use of AI technology
Iv may use AI-supported technology in parts of the application process. This may include:
- analysing job vacancy texts or application letters;
- supporting the matching of profiles and job vacancies;
- collecting statistics on the recruitment process;
- or offering digital assessments.
The use of AI is intended solely to support our recruiters in their decision-making. No automated decisions are made that have legal consequences for you or significantly affect you without human intervention. The final assessment and decision-making is always carried out by an Iv employee.
Personal data processed via AI tools is stored securely and used only for the purpose for which it was collected. Iv works exclusively with suppliers who comply with the GDPR and who have taken adequate technical and organisational security measures.

How do we obtain your data?
We receive your personal data:
- directly from you (e.g. via our website or by email);
- via an intermediary or recruiter engaged by you;
- via public sources (such as LinkedIn) when we actively approach candidates (“sourcing”).
When we receive your data via another party, we will inform you of this at the first point of contact.
How long do we retain your data?
- During the application process: your data will be processed for the duration of the process.
- After completion of the process: your data will be deleted no later than four weeks after completion, unless you give your consent for it to be retained for longer.
- If you give consent for future vacancies: we will retain your data for a maximum of one year after the end of the procedure. After that, we will automatically delete it, unless you give your consent again.
- Upon commencement of employment: your application file will become part of your personnel file.
Provision to third parties
Your data will only be shared with:
- Iv employees involved in the application process;
- any external parties conducting an assessment or reference check on behalf of Iv (only after prior notification);
- IT service providers who manage our systems (with a processing agreement).
We do not share your data with parties outside the European Economic Area (EEA), unless appropriate safeguards are in place.
